Your privacy is important to us. This Privacy Policy explains how we collect, use, and protect your data when you use our Discord Bot and its Web Dashboard.

2. What Data We Collect & Discord API Integration

When you interact with our bot or log into our Dashboard via Discord OAuth2, we retrieve and process specific user data provided directly by the official Discord API. This includes:

• Discord Account Profile (via Discord API): We access your Discord User ID, Username, Profile Picture (Avatar).
  • Note on Storage: Your User ID and Username are stored securely to link your game progression and server configurations. Profile assets such as your Profile Picture and Profile Banner are fetched live via Discord API endpoints to render your profile card and dashboard UI, minimizing permanent data storage on our end.
• Game & Service Statistics: We store data generated by your interaction with the bot, including:
  • Leveling: XP, Levels, and message counts.
  • Counting Game: Correct counts, mistakes.
  • Song Game: Win counts, difficulties, and timestamps of wins.
• Server Configuration & Metadata: To function correctly, our bot stores server-specific configuration data. This includes Channel IDs (e.g., for welcome messages, leveling, or counting) and Role IDs (e.g., for level-up rewards or color roles).
• Moderation & Security Data:
  • We store Automod Warnings (if enabled by a server admin) linked to your User ID.
  • Your IP address is processed for rate-limiting but is immediately anonymized/hashed and not stored in raw format in permanent logs.
• User Content: Custom rank card background images uploaded via the dashboard or our Discord-Bot.

3. Legal Basis (GDPR)

We process your data based on the following legal grounds according to the General Data Protection Regulation (GDPR):

• Art. 6 (1) (b) GDPR: Necessary for the performance of our service (providing the bot/dashboard features).
• Art. 6 (1) (f) GDPR: Our legitimate interest in securing our infrastructure (temporary security logs).

4. Data Storage & Hosting

Our infrastructure is hosted by ZAP-Hosting. Servers are physically located in Frankfurt am Main, Germany (EU). Your data remains within the European Economic Area (EEA).

5. Cookies

We use only strictly necessary session cookies (e.g., session_token) for authentication and CSRF protection. We do not use third-party tracking or marketing cookies. Therefore, no cookie consent banner is required under current EU regulations.

6. Your Rights

Under the GDPR, you have the following rights regarding your personal data:

• Right to Access: Request a copy of your stored data.
• Right to Erasure ("Right to be Forgotten"): Request the deletion of your account and statistics.
• Right to Rectification: Request correction of inaccurate data.
• Right to Lodge a Complaint: You have the right to complain to a data protection authority.

7. Data Retention

We store your data as long as you use our services or leaving the Discord your. If you are inactive for an extended period or request deletion, your personal data will be removed or anonymized.
